How do I email my spa’s clients without uploading a list?
Use an email tool that reads your point-of-sale records directly instead of a spreadsheet export. Your guests, the marketing consent they gave at the front desk and their visit history stay in one place, so the list is never out of date and an opt-out at the counter takes effect without anyone uploading anything.

Why the export-and-upload routine breaks
An export is a snapshot. The day after it is uploaded, new guests are missing and guests who asked the front desk to stop emailing them are still on it. Someone has to remember to repeat it, and every repeat is a chance to upload an old file, the wrong file, or a file that includes guests who never agreed to marketing.
Many email tools also bill by how many contacts you keep. A spa that has been open a few years has a large client file, and uploading all of it to be safe can mean paying to hold people who will never open an email.
What Gmail expects from a sender
Google’s sender guidelines ask every sender to keep the user-reported spam rate below 0.3%, and recommend staying under 0.1%. Anyone sending more than 5,000 messages a day to Gmail addresses must also have SPF, DKIM and DMARC on the sending domain and one-click unsubscribe on marketing mail.
The same guidelines tell senders not to buy addresses and not to email people who did not sign up. The quickest way over the spam-rate line is mailing people who do not remember agreeing to hear from you. A list built from consent recorded at your own front desk is the opposite of that.
What to look for instead
A direct sync with your spa software, refreshed at least daily, so the list is always today’s guests.
Consent read from the guest record itself, so the front desk is the one place it changes.
Audiences built from what guests did, such as last visit, last service or an upcoming appointment, rather than tags somebody has to keep up.
Unsubscribes kept in their own record, so a later sync can never add back someone who opted out.
How Day Spa Mail does this
Day Spa Mail has no upload button. Guests, their marketing consent and what they spend come from your point of sale through Day Spa Data, refreshed every morning. A guest who opts out at the front desk leaves every audience at the next refresh, and an email unsubscribe stops immediately and is kept separately, so no refresh can undo it.
Email is priced per spa, not per contact, so the size of your client file never changes what email costs. Texts, coming after email, are included up to a monthly allowance per spa, with more in prepaid packs.
